Egress Prevent (Outlook Email Security) - User Guide

Egress Prevent is an email security add-in for Outlook that uses machine learning to flag misaddressed recipients, risky attachments, and sensitive data before an email is sent.

Prevent Shield icon (Outlook ribbon) status colors:

  • Not active yet, or Outlook is offline.
  • Active, nothing unusual detected.
  • Potential risk identified — suggested actions available in the side panel or on send.
  • High risk identified — suggested actions available in the side panel or on send.

If a user reports Egress Prevent / the Prevent Shield isn't working:

  1. Confirm Outlook is online and connected to the internet (Prevent Shield will not be active while Outlook is offline).
  2. Check the Prevent Shield icon in the Outlook ribbon — if it's not showing as active, Egress Prevent isn't functioning.
  3. Click the Prevent Shield icon to open the side panel and review any suggested actions.
  4. If a risk is flagged, hover over the recipient in question to see why, then choose the suggested action, "Send anyway," or "Cancel" to fix the recipient list.
  5. Restart Outlook (and the computer, if needed) to refresh the add-in.
  6. Confirm Egress Prevent is up to date.
  7. If it still isn't working, escalate to IT support.

Typical use cases Egress Prevent covers: misaddressed recipients, content/attachment analysis, misspelled addresses, BCC prompts for 10+ recipients, sensitive data detection, newly created domains, display-name impersonation, and blocked domains.

Note: on web or mobile Outlook clients, Egress Prevent instead sends a follow-up email with a risk summary and an approve/reject option.
